If you have a B2B online shop, your orders will sync to the Hive App as B2B orders. You can check if your B2B order has synced to Hive by accessing the ‘Orders’ tab on the Hive App and looking for the order ID using the search bar. If the order appears on the page, the syncing was successful and we will process your B2B order.
Please note that we sync the order notes directly from all shop platforms, but we only sync documents from Xentral. Remember to check the order notes and the documents in the order on the Hive App to make sure they have synced correctly. You can also add and modify notes and documents directly on the Hive App before the order is processed.
If no order shows as a result of your search, feel free to either contact Customer Support for help or create a B2B order manually in the Hive app by following these steps:

Click on the "Orders" tab on the sidebar of the Hive App.

Click on the "Add order" button in the top right corner and click on "B2B order"

Start filling in all the mandatory fields and the additional ones that you consider helpful for us when we are processing the order.
⚠️ All addresses are automatically saved as soon as they are used for an order. To be able to find previously used addresses, you just need to type the name of the company you used in the company field in the customer details section. Then the saved addresses will show up in a dropdown.
⚠️ If you want your retailer’s order number or the PO number to be displayed on the documents of the order, please add it as the “Order ID” in the order details section. -
Scroll down and fill in the SKU details.

Type the name of the SKU in the "Search SKU" tab.

Modify the quantity of the SKU to as many as you want.

Click on the “+ Add” button to the right.

Repeat this process with as many SKUs as you need.
Alternatively, you can bulk import all the SKUs in your order. To do this, follow these steps:

Click on the arrow next to the "Bulk import SKU" text.

Download the .csv template.

Open the sheet and fill in the "Hive SKU ID".
- You can find the SKU ID in the second column of your inventory export, or when you open the SKU in the Hive App, the digits are displayed at the end of the URL after the last “/”. For instance, if this is the URL of your SKU: https://portal.hive.app/inventory/details/336383, the Hive SKU ID will be: 336383.
- Save the changes in your sheet.
- Export the file as .csv

Drag and drop to add the document in the Hive App.

As soon as the import has been completed, you will be able to see a green square confirming the number of SKUs that have been imported
- Make sure to double-check the SKUs and the quantities added to the order.

- If you or your recipient have any specific requirements to prepare the order different to the standard, you can add them to the "Order instructions" section.

If you want to organize the pick-up and shipping of the order instead of Hive shipping it, you can toggle the first option that says "I will organize a pick up".
- You will see that another field appears where you can enter the pick-up date. If you need to know how big the order is before organizing the shipment, please don't select a pick up date. As soon as the order is packed, you will see the dimensions directly in the Hive App, and a "Pick-up date required" issue will be created. To resolve the issue, you can enter the pick up date. In this case, please do not organize the pick-up on the same day, as we need to know in advance who will come to the fulfillment centers.

Please remember to take our processing times into account when organizing your shipment, as if the pick up is organized earlier, we might not be able to hand over the order to the driver:

Your order will be ready 2 business days after it has been created if it has no issues, like "Out of stock".

If the order is placed after the cut-off time, please postpone the pick up by one more day.

If your order requires extra tasks, such as, barcode relabelling, it will be ready for pick up 6 business days after the order is created.

If you do not want the order to be packed on a pallet, please select the toggle "Ship in parcels only (do not palletize)".

If your order needs to be packed without mixing different SKUs in the same box or pallets, please check the box "Parcel" and/or "Pallet" under "Pack in single SKU".

If you do not want Hive to pack the B2B order using your master cartons (boxes from your supplier), please check the box "Repack (do not use master cartons)".

If you want to provide any labels or shipping labels for your order, please check the box "SKU barcode", "Parcel", "Pallet", or "Shipping label" under "I will provide the following labels".
- If you select the SKU barcode check box, please make sure to attach the barcode(s) as a document on the order. This is very important as it will be the first thing we need to prepare for the order. Remember that if you need to relabel the barcodes of the items, the processing time of the order will be 5 business days.
⚠️ The format of the barcode must be the following:- at least 5mm high
- resolution of at least 300dpi
- high contrast
- a few mm of white space around them
- optimized for the format of the label (e.g. 55x30mm)
- If you select the "Parcel" or "Pallet" check box, and you don’t initially add a document categorized as "Parcel label" or "Pallet label", as soon as the order is packed, a "Parcel label missing" or "Pallet label missing" issue will be created in the order. To resolve them, please add the labels in a PDF format, so Hive can add them to the order.
- If you select the shipping label check box and do not initially provide a document categorized as "Shipping labels", as soon as the order is packed, a "Shipping label missing" will be created in the order. To resolve that issue, you will be able to add a PDF document with your shipping labels so we can add them to your order.
- In the case of Amazon FBA orders if the Amazon parcel labels and the shipping labels are in the same document, please only select the check box "Shipping label" under "I will provide the following labels" and upload the document as document type "Shipping label".
- In the case of Amazon FBA orders if you only provide Amazon parcel labels and would like to ship the order with Hive carriers then please select the check box "Parcel" under "I will provide the following labels" and upload the document as a document type "Parcel label".
- If you select both options and only provide one of the documents, there will be either a "parcel labels missing" or "shipping labels missing" issue as soon as the order is packed and your order won’t be shipped until you resolve that issue.
⚠️ The format of the Amazon FBA must be the following:-
- one label per page
- full page size
- vertical orientation
From our experience, these are all options that you can select directly on Amazon's portal when downloading the labels, and it's called "Thermal printing"

- If you select the SKU barcode check box, please make sure to attach the barcode(s) as a document on the order. This is very important as it will be the first thing we need to prepare for the order. - If there are some weight or dimension limitations that we must not surpass, please check the correct box under the "Pallet specifications" and "Parcel specifications" and provide the data in the corresponding fields.
- If you want to save this information for future orders, you can select the last toggle "Save as template" and add a name of your preference. This way, you will not need to enter this information again for future orders falling under the same criteria.

Upload any necessary documents in the "Documents" section.
⚠️ By default, Hive only generates shipping labels, packing lists, and customs documents (if the shipment is organized by Hive); therefore, if the order needs anything else, please provide it as a document. ⚠️ Specific packaging instructions/photos should not be added as a document, it should always be mentioned in the order notes. The documents section is intended for adding extra labels or documents that need to be physically attached to your order.
These documents are printed after the order is packed, so they won’t be considered during the preparation process.- 1. Click on "+ Upload documents" to add it to the order.
- 2. Once the document is attached you can select "Document type" to complete the upload process.

- Click on the "Create Order" button in the top right corner of the page. Now the order is created!
Go to the "Orders" tab on the left bar menu in the Hive App and enter the order ID of the order you just created. Open the order to check the address, the notes, or attachments are complete before the order is processed.
